Canned Emails & The Scheduler


Class Outline

In this class we will start out with a quick overview of all the features Dubsado has to offer from a top level view as well as some of the goals of the class and how we will achieve them. I will share which programs and applications I’ve been able to drop or cancel as a result of switching over to Dubsado and go over some housekeeping type stuff about Zoom, replays, office hours etc. Then we will dive right into the practical applications of the software.

Canned Emails

We will start off with one of the easiest but one of the most helpful tools Dubsado has to offer: canned emails. Creating templates of emails you use the most is obviously helpful from a time saving point of view. I will start off by showing you the building blocks of the canned email and illustrate how to add your firm’s branding to them as well. We’ll also discuss the real value of canned emails which is to use them in creating a series of template responses to address specific procedural issues or to achieve specific communication goals. For instance, by creating a series of canned email responses for on-boarding a client or closing out a client matter you can ensure that every client receives each necessary email in a timely and consistent manner. This not only looks professional but things are less likely to fall through the cracks when the system is automated. Canned emails can also help you be proactive in your practice as well. For instance, developing a series of templates to keep in touch with potential or past clients, attorney referral networks, and more will help you generate more business using less time and energy. Then, we will take the first step in creating a consultation workflow for your firm by setting up canned emails for a consultation appointment. I will share the actual emails I use in my own practice so you have something to start with immediately!

The Scheduler

Next, I will introduce the scheduler. This was one of the trickier parts for me when learning Dubsado, however, it has been one of the biggest helps in managing my practice calendar and my personal life. I will briefly review the basic components of the scheduler however, I’ve found just diving right in is the best way to learn about what it does. Again, I will highlight where you can add your own branding and we will discuss all the different ways in which it can be of use. For instance, I have schedulers set up for in office consults versus phone consults, attorney networking events, client appointment types by matter, duration and urgency. Truly, there is a limitless numbers of ways in which you can make the scheduler work for you. We will then actually recreate the consultation scheduler I currently use and we will attach some of the canned emails we drafted earlier so potential clients get automatic responses as the inquire about and make a consultation appointment.
